We're excited to introduce a public beta for M-Files Custom Agents, a new capability that brings AI-driven automation into M-Files workflows. Custom Agents handles the workflow steps that depend on reading content and determining what happens next. This is work that rule-based automation has never been able to touch. Organizations decide where the agent acts, where people stay involved, and every outcome is recorded with the reasoning behind it.
How It Works
- Administrators configure agents using natural-language prompts with no code or developer dependency required.
- When an object enters a workflow state with an agent configured, the agent reads the available content and context and returns a structured outcome.
- The agent updates properties on the triggering object, creates new related objects, or both.
- The reasoning behind every outcome is recorded directly on the object's metadata card.
Key Benefits
- The right people focus on the work that actually needs them. Workflow steps that depend on reviewing information and determining what happens next no longer create queues behind the people qualified to handle them.
- More work can move forward automatically. Organizations can automate workflow steps that depend on reading content, applying business rules, and determining the next action. This includes work that previously required manual review in every case.
- Every outcome can be reviewed and explained. The reasoning behind each outcome is recorded alongside the result. Process owners, reviewers, and auditors have full visibility into how conclusions were reached.
Example Use Cases
- Contract compliance check: The agent reads a contract against a defined set of compliance requirements, records which are met and which are not, and routes the object accordingly.
- Incoming inspection: The agent checks measurements against defined tolerances and flags deviations. Batches within tolerance move forward automatically.
- Subcontractor invoice verification: The agent reads the invoice and linked subcontract and verifies that billed roles, rates, and amounts match. The approver receives a structured assessment rather than two documents to read side by side.
- Action item extraction: When a meeting memo is filed, the agent creates an assignment object for each action item, pre-filled with title, responsible person and deadline.
