Notification when an User logs into a vault

Hello,

How can we set up notifications that will alert the recipient if a specific user or users have logged into the vault?

Also can we create a notification rule that gets triggered when an user previews a file, not checked out or read only?

  • Login notifications: It’s unlikely that this can be achieved using the built-in notification configuration. You would probably need to create a custom extension (a vault application) to handle this functionality.

    For example, the extension could:

    Regarding file previews: previewing a file essentially involves downloading it to the client. From the server’s perspective, there’s no difference between previewing a file and opening it for editing or viewing in an external application. Both actions trigger a “File downloaded” event in the vault event log, unless the file is already found in the client cache.     We have a new HR Vault that will be hosting documents with sensitive info. And we would like the HR department to get notified if anyone other than them gets into the vault, or views a file.

    Currently, those documents are in a shared network folder drive, there is a notification that is sent to the HR Dept. should a system admin open the drive and start looking for some files. We would like to replicate this behavior on M-Files.

    Alternatively, you can enable Advanced Event Log features in the vault and configure Compliance Kit's Log Exporter module to export the event log to a secure location. This approach allows you to audit logins and previews / file downloads later, which is especially useful if the notification system is disabled or encounters delivery issues.

    For enhanced monitoring, consider importing the exported logs into a third-party SIEM system. This can serve as another way to implement an alert mechanism.
