updating name on replacing document

I hope you are having a good day. I see that the following question has been asked multiple times on the forum, but unfortunately, none of the questions have an answer. Therefore, I am asking it again in the hope that someone can help me further.

Suppose I put a document on M-Files called "document v1.pdf" and I receive a new version "document v2.pdf". Can I then automatically overwrite the old document name with the new one if I replace it by dragging and dropping the new version on top of the old one or by use the "replace with file..." function? I have already added a field where the original name (document1.pdf) is automatically saved upon creation.

  • Dragging a file over an existing document will replace the file contents, not change the name.  In the case of your example the document really should not have the version number in the title, so the new version of "document.pdf" would overwrite the older version of "document.pdf".

  • I completely agree with you; ideally, the file name shouldn't be altered. Unfortunately, the files we're dealing with come from external parties, and we don't have any control over their naming conventions. To address this, I've created an additional field where I store the original name of the file. The idea is instead of altering the current document name, this field should be updated when the file is replaced.

  • I don't know whether there's an easy way to do this.  I don't recall - but maybe someone else does - of a configuration setting, at least.
