Is there a way to add exceptions to the "Assigned to" built-in notification rule?

In M-Files Admin > Configurations > Advanced Vault Settings > Notifications, is it possible to activate the built-in Assigned To notification which send an email to the assigned user when any object is assigned to it.

It's working fine but we have a workflow that automatically change state after X days and since M-Files checks states in the middle of the night, it also fire notifications at that moment. What I would like to do is instead set up a notification that only fire once a day (at 2 pm which is the time the server is setup for notification sent) with all objects that went through that workflow during the night.

However I cannot find a way to add exceptions to the Assigned To built-in rule. Would there be a way to still send notification on other objects on assignement but not in that specific case?

  • Unfortunately I don't think this is possible, you can only disable these notifications for the whole vault.

    I would consider if you could do something on the receiving end, for instance an Outlook rule that moves those individual notifications automatically to trash. Then you could configure a separate notification rule to send the digest message once a day.

  • I can add that relying on automatic state transitions for timing is not a good idea to start with. M-Files periodically checks automatic transitions if there are objects that meet the criteria. While this works fine and without delay for smaller vautls, however, as the vault gets bigger and gets more and more workflows with automatic state transitions, this hourly check cannot be completed in time. So, as you are now experienceing, the full check of automatic transitions gets completed in the middle of the night where the load on server is very low.

    Back in my consulting days, instead of relying on automatic transitions, we used to do it with VAF applications OR I havent tried myself but I suppose Property Calculator can do it as well..

  • Property Calculator is indeed a good solution for this type of transitions. You can set it run only once pr day and at a given time during the night.
