Outlook → M-Files: allow user to choose class when saving emails by drag and drop

We have a setup in M-Files where the customer does not use the built-in Document class at all.

Problem:
When users drag an email from Outlook into M-Files, it is always saved as:

  • Object type: Document

  • Class: Document (system class)

This class cannot be removed, and the user is not prompted to select a class when using drag-and-drop.

What we are trying to achieve:
We want the user to be able to choose which class the email should be saved as, instead of always defaulting to the Document class.

When dragging a regular document/file into M-Files, the metadata card is shown and the user can select the object type and class.
This behavior does not occur when dragging an email from Outlook, where the class is automatically set to Document.

According to the customer this has been possible previously but recent changes (version or strutctural) has changed the behaviour).

Any ideas?

  • I just checked, you can create a new folder under "M-Files" part of outlook folders. You just need to right click relevant vault (I have more than 1 defined so I have more than 1 under "M-Files" folder) and just go for "new folder".

    With this newly created folder you can point out a new class and actually set parameters to use this folder. This should not change default behaviour but would work as a workaround.

  • I have tested on my end as well - I was not even aware of this functionality.
    Just created a general folder, dragged and dropped the email into that folder popped out prompting class selection.

    I played a bit more with the functionality, being able to pull values for properties based on the email properties is very useful.
    This workaround may be more efficient than dragging across desktop windows if the time is taken to set it up in a useful manner.
