Outlook Pro feature suggestions

Hi,

Having implemented Outlook Pro for a number of customers, the add-in has proved invaluable for reducing time spent on saving conversation replies into M-Files.

We have had feedback from some of our customers which I'd like to put forward for consideration:

- Similar to saving via drag/drop over an Outlook smart folder can read the first 100 characters of an email message to save as metadata, are there any plans to introduce this into Outlook Pro in the future? Some of our customers have suggested that having the first part of an email message as metadata can be helpful when searching for a particular email message.

- Although a set of optional properties can be configured for each class being used to save via Outlook Pro into M-Files, is it possible to consider an 'add property' function to the Outlook Pro UI? Some of our customers have explained that when they need to tag an email to another context that isn't catered for on a class's optional properties, it is inconvenient having to find the email in a vault to retrospectively add an additional property. The problem is compounded when conversation saving is enabled for a thread, in that each reply needs the additional property manually added.

Otherwise, Outlook Pro has been a great step forward for managing emails! Curious to hear what feedback other partners have received from their customers on Outlook Pro.

  • Thank you for the feedback and happy to hear that Outlook Pro is helping your customers!

    Regarding the requests:

    - The emails stored in M-Files are full-text indexed, so customers should be able to find them with content-based searches. Is there a specific scenario where the content-based search doesn't work and they would need this snippet as metadata?

    - I've recorded the wish about the "add property" option for consideration as a future enhancement.

  • Thanks for your reply Joonas.

I understand what you're saying regarding content search for the emails. I sought clarification from our customer who is asking about the first 100 characters of the email message. Turns out they were using that first snippet of each message in a view to help track down emails, and now that Outlook Pro is being used, they've lost that information. In their words: "With regards to the first 100 characters of email text, it isnt in regards to content based searching but in regards to making the view of email correspondence closer to Outlook view when scanning emails to find a certain one. As you can see below the change between the old email and Outlook Pro."

They sent through a screenshot of their view to contrast what was available prior to implementing Outlook Pro:

Food for thought in the future I guess.

    Kind regards,

    Matt

  • Understood, thanks for the additional details. I'll record this as a product insight as well.
