M-Files Process Maps 2.0: Add-On for Visual Thinkers

M-Files Process Maps 2.0: Add-On for Visual Thinkers

Do you like to scribble in a fresh notebook? Do enjoy working on a whiteboard? Are you an avid note taker? To-do list writer? Then, you're most likely a visual thinker. And, you're who we had in mind when we created M-Files Process Maps 2.0.

M-Files users already have the smarter way to work with the complexities of document challenges. There are three approaches to access information in M-Files: the search-driven approach, navigation in virtual folders, and access to the information used before, such as Recent or Pinned items. All three approaches use metadata and a dynamic display of information in lines and columns.

While this seems to satisfy many needs, we know there are some who may prefer a different way of viewing M-Files the very first time. Having implemented M-Files in so many different industries, we know there may be complex and abstract issues which need to be explained. Also, we know users love guidance in situations where a lines-and-columns may not be their preferred interface.

Thanks to this realization, we decided to revise the Process Maps add-on. While the first release of the product some years ago focused on drawing process flow charts (think of them as visual SOPs), the key focus of this overhaul was to guide users by providing "workplace support."

The idea is to show task aids, cheat sheets, helpful tips, and graphical visualizations of data which resides in M-Files, as well as custom menus with overview graphics.

Just as there are different approaches to accessing information, there are also different abilities and skills in the work force. We never assume everybody comprehends complicated matters easily. Therefore, graphical guides and summarized, charted information are a helpful tool. Our brain processes visuals so much faster than text. Presenting information in a graphical way enhances comprehension and amplifies retention.

Process Maps 2.0 conveys information in different types of maps:

  • Home Maps: Display as custom menus.
  • Flow Charts: Help describe processes.
  • Workflow Maps: Display Workflow states and offer interactive state transitions.
  • Workload Charts: Provide summarized data via gauges and dashboards.

While using these map types creates dynamic benefits, their combination in one vault really boosts the value and greatly simplifies M-Files for many users.

There are numerous applications with clear advantages for users, team leaders, and subject matter experts, as well as the whole organization. Visualizing information and interacting with metadata in this new way provides—once again—the Smarter Way to Work .
