Additional document (like appendix) to existing document

Hi community,

We have specific requirement to support creation and management of additional documents to existing documents of specific document type which has full workflow and approval process.

The easiest approach was to create a separate document type where they can select from drop-down other approved document.

Problems start to occur when we start thinking about access on that appendix document. In other case, we have quite a complex workflow which provide access based on classification and dynamic approvers so it can happen that only specific subset of users would have access on published document.

On the other side, appendix document access would then need to be managed by document creator which I doubt would work well as our users do not understand very well concepts behind.

Wondering if there are better ideas, perhaps offer users an option to create appendix or upload appendix during main document workflow. Other workflow is quite strict using workflow control light with working copy and PDF version after publishing so I don't think we could use multi-file documents.

Any additional ideas we could follow up?

  • I am coming back regarding this one:

Actually I was very positive about finding that in case we would use "Multi-file" document template instead of our pre-configured word template, that Version Control Light module would be able to correct create PDFs for all documents entered into this multi-file document. Seems as very good option to promote by users and project teams seems to be happy as well.

The only open point that remains: how could we "convert" single file in case users came across later that they have additional documents (e.g. appendix documents). I have tried to add "Single file" metadata with "Add properties" (we actually disable this option for end users, but in case of cases we could enable it for short support) as an Admin but can find this metadata in drop-down of properties. The property is definitely searchable in Vault (I have double checked). Actually this metadata must already exists on document and is set to "Yes" in case used start with Word template. The question is more how can I put it to "No". Is there any options I could enable? Right click on document, "Set as multi-file"?

I have couple of time programmatically used "Single File" document in certain workflow steps and have convert single file documents into multi-file documents but this seems to be overkill in this case. Still hope that I don't need to develop something for this.

    Thanks for ideas.
