Automatic permissions

Hello,

I am in a situation where I want to replace static permissions with automatic permissions and I have a set of requirements for this task,

I am looking for Tips and Tricks section or a Comprehensive Guide on how to set the automatic permissions correctly.

I went through this topic:  RE: Permissions at Document Level  and the picture is very helpful.

My question is, where was the picture taken from? Where can I find the full guideline?

    For learning more about configuring permissions, I recommend starting with the resources linked in the User Learning & Enablement section. The M‑Files Academy, for instance, offers relevant content for administrators.

  • Unfortunately, the training materials I have access to are not sufficient to do my work...

    Our representatives are in a tough spot, they fired some key people from their team recently and I am not sure where to take from here. I have the feeling my whole database has to be rebuilt, hopefully I am wrong...

    I have fundamental questions for which I cannot find sufficient information for:

    1. Pseudo-users, as far as I understand this is the way to create dynamic user groups based on metadata card values, but I still cannot find the right way to make these properties appear in the Users' metadata card, most of the properties are grayed out...

    2. Metadata card properties automatic permissions enablement, when I need to create cross reference between groups. The classes and the users share the same property but it seems to not be working as expected at all.

    3. Permission design hierarchy...

    So many layers the software is organised and I seem to not be able to find the right path to do what I need to do...

  • I can see that you bought M-Files through a reseller.  I would strongly recommend that you reach out to them in the first instance; they should be able to guide you through some of these steps.  This is complex and it's a lot easier to do once you have some experience - contacting them is likely to save you some pain in the short term.

    That said, I think your information is broadly correct (pseudo-users are the right way forward), but there are lots of nuances here that are going to affect your initial experience.  If you want to use this yourself then my suggestion is to start slow - create a simple set of automatic permissions first (e.g. a simple dummy value list values of which drive a single access control list entry), and test that thoroughly; it'll allow you to get some confidence in how the relationships work and interact with the effective permissions.  From there you can take steps towards pseudo-users and other such constructs.
