Saving PDF fields

Given a PDF document with editable fields, how do I check these in?

Checking out the document and opening it in Firefox or Acrobat allows me to edit these fields, but then I have to save the document. This, however, doesn't seem possible without creating an entirely new object. Whenever I hit save it pops up the "save as" dialogue rather than adding a new document version in M-Files.

It is sort of possible with annotations, doing that even allows me to edit the fields within the M-Files preview. But if multiple people have to change something it creates a whole list of annotations, and then when I want to send the original document it still doesn't have those annotations "baked in" so I again have to save it separately which (for me) defeats the point of M-Files.

To me it would seem the easiest to check out a document and edit the fields right in the document previewer (I can already select the fields there, just not edit them) and check it back in.
If not that, a feature like in Microsoft Office where saving the PDF from my editor will add a new version to the existing object.

Have I missed some sort of feature, or is there simply no easy way to go about this?

  • I don't have a lot of experience with these type of PDFs, but is it that the PDF file simply isn't checked out automatically?  If so then this behaviour can be changed: User-Specific Settings (m-files.com)

    By default PDFs are not checked out when opened (as most are read-only).  If you have a need then you could alter this behaviour using the UI linked above.  Maybe test it on your machine and see whether it helps?

    The issue isn't with checking PDF documents out/in, but rather checking the changed document in.

    I am familiar with that option and it does not, unfortunately, resolve this issue. But thank you for the suggestion.

  • I generally use "Nitro Pro" to edit PDFs. As long as I check out the document before attempting to edit and save it there is no problem in saving it as a new version.
    The issue may have something to do with how the application interacts with M-Files during Save operations.

    I imagine that Firefox and other browsers will download a copy of the document to a temp-folder. If you attempt to save an edited version, it probably will either attempt to save it in either the temp-folder or as a new document. Most likely the browser is not aware that it has opened the file from a place where it is possible to save it again.
    Acrobat is AFAIK know by default specified in the list in User Specific Settings. Its behavior may be affected by those settings. You could perhaps try to edit or remove acrobat from those settings.

  • It seems it depends on the PDF editor.

    Edge seems to work whereas Firefox and Chrome don't.

    PDF-Xchange editor and Nitro Pro also seem to work, whereas Acrobat doesn't.
