Can the "Save" button and "Comment" field be disabled when changing workflow state?

Hello,
We are implementing M-Files for our customers and faced a usability issue.

When a user selects a workflow state transition (for example, “Take into execution”), they also need to click the Save button afterwards. Many users assume the action was completed after pressing the workflow button, and forget to click Save. As a result, the document remains in the previous state.

Additionally, we would like to hide or disable the Comment field that appears next to the Save button, since our process does not require comments.

Please see the attached screenshot for reference (label 1 = Save button, label 2 = Comment field).

Our questions are:

1. Is it possible to configure M-Files so that workflow state transitions are automatically saved (without requiring the user to click Save)?

2. Can we disable or hide the Comment field in the client UI?

3. Or should we contact M-Files vendor support for a customization/API solution?

  • 1. The user needs to save the changes on the metadata card before the object moves to the next state. In this respect, the workflow state behaves like other property values and the changes are retained only after saving.

    Looking ahead, we are introducing a new task bar in the client UI. The long-term plan is to enable users to perform state transitions directly from the task bar with a single click. The task bar will be available in the October update; however, workflow transitions will not be included in the initial release.

    2. Currently, it is not possible to hide the comment field. That said, adding a comment is entirely optional, so there is no issue if a user chooses to leave one.
