Archiving document in Multifile

Hi everyone,

I have a multifile which consist of  more than 3 documents in it. The documents have the same content but different revision. I have rev 1, rev 2 etc document in the Multifile. I know i can just replace document rev 1 with rev 2 and the rev 1 will be kept as history however, the name of the document still remain the same as  the version 1. Is it possible to replace the document and straight away change the document name?

  • Hi!

If you want to replace a document and at the same time change the name, do it like this:

    1. Check out document (right-click on document -> Check Out)
    2. Replace document however you wish:
      • Open directly by double-clicking -> edit document -> save -> close office application
      • OR: drag-drop new version from outside of M-Files
    3. Change "Name or title" property in the metadata card
      • You can change any other property as well, if needed
    4. Check in document (right-click -> Check In)

It is better to have M-Files handle the versions, and not place all versions under a multi-file document. That way you always have only the latest version visible, and preview works by clicking the document.

    Hint: Keyboard shortcuts:

    • Check Out: Ctrl-O
    • Check In: Ctrl-I
