Actionable email or workflow decision from email?

Hello fellow community members,
Is it possible to set the workflow notification so that the approver can take action from within the email itself, and not need to go to the system? Like the actionable emails supported in Outlook where you can have an "Approve" and "Reject" buttons in the message body.

  • It's an interesting question, and one I wouldn't mind a more definitive answer to, as management aren't always ones for going into a system like M-Files and following procedure.

    I can't provide an answer to "can we generate links to provide approval/rejection", but one method I did come up with to try and offer a similar method was to generate links that would be in the email. These links would open a new email, with the To address and Subject pre-filled, so all they would have to do is press send.

    These emails (there would be one configured for approve, and one for reject) would go to a shared mailbox, and get put into a specific folder that M-Files would periodically poll. M-Files would then pick up any emails in the folder, and process them in a workflow, extracting relevant information (who the sender was, what the assignment ID was, whether it was an approval or rejection), and then would use the information to process the assignment.
