Archive Emails from Exchange

Has anyone used M-Files as an archive for emails and how did you do it?  

We're thinking of using the existing Mail Source connections but have a few questions:

1. is there a limit to the number of mail sources you can setup?

2. Can you import the 'sent' emails as well as the ones received?

3. I see an option to "delete message from server after importing" but can you set it to delete after X number of days instead of right away?

4. If you want to do this for each user would you need to setup up a separate mail source for each user (possibly multiple ones for each user (inbox and sent))?

End goal is to have the emails kept in M-Files and just the most recent ones on the email server.

    1. A large number of connections to external sources with short synchronization intervals can cause performance issues, so it's not recommended to have a large number of mail sources that keep polling the mailboxes all the time. One recommendation that I've seen is that the number of mail sources shouldn't exceed 50, although I'd try to keep it even lower than that. However, I don't think there's any technical limit at the moment.

    Primarily I would look into using the client-side Outlook integrations for archiving mails from user mailboxes. The standard integration comes with M-Files Desktop and an advanced one is available for a separate fee (M-Files for Outlook).

    2. Not sure if this is possible with mail sources, but at least the Outlook integrations support archiving messages as you send them.

    3. No, mail sources delete the message immediately after importing if you've selected that option.

    4. Yes, I believe so. Again, I'd look at the Outlook integration options for archiving mails from user mailboxes. Mail sources are primarily designed for common mailboxes, such as importing support mails from a customer support mailbox or orders from an order mailbox.
