M-Files April 2026 Product Update

In our ongoing dedication to constant enhancement and ensuring optimal performance of our solution, we're thrilled to unveil the latest round of product updates.

Upgrading to the new M-Files Desktop experience

The new M-Files Desktop is the primary focus for all future features and is the recommended client moving forward. Transitioning requires the use of the gRPC protocol. While gRPC is enabled by default in our cloud offering, on-premises customers need to take certain steps to enable it. Please read How to transition to the new M-Files Desktop to help assess your environment and to find easiest path to transition.

New Features and Enhancement highlights to new M-Files Desktop and Web:

  • In‑Product Guidance: In-product guidance brings guided experiences directly into M-Files to make it easier for users to get started, discover new capabilities, and complete everyday tasks with more confidence. Please see the full announcement for more information.
  • Sharing center update: Sharing Center is now available for all users. Users with read‑only access can now also share objects externally.
    • A new setting is introduced that allows administrators to enable or disable external sharing at the vault level (Advanced Vault Settings → External Sharing → Enabled). When disabled, the Sharing menu is hidden and external sharing is not available.
    • Additionally, a new option allows admins restrict visibility of visitor recipients to specific user groups (Advanced Vault Settings → External Sharing →Limit Visitor List Visibility). This helps organizations maintain tighter control over external access.
  • Improved View Creation Experience updates
    • The Edit view option is now much easier to find. It can be accessed from both the context menu and the view header.
    • Adding grouping is now more visible and easier to use when creating or editing a view.
    • Adding a filter is no longer the required first step when creating a new view. Users can start with grouping or other settings and add filters only if needed.
  • Improved Microsoft 365 storage and coauthoring options 
    • You can now manage Microsoft 365 storage and coauthoring separately in the admin interface.
    • Upgrading to the new version ensures coauthoring is enabled by default when a Microsoft 365 tenant is present.
  • Control Web Companion availability: Administrators can now fully enable or disable Web Companion for a vault.
    • A new setting available (Advanced Vault Settings → Client → Web Companion → Enabled).
    • When disabled, users cannot access Web Companion in that vault.
    • Admins can also hide the download or update menu and stop installation prompts in M‑Files Web with new setting (Advanced Vault Settings → Client → Web Companion → Disable Download Option in User Menu), which helps when Web Companion is deployed centrally, such as via Group Policy. 
  • Aino Metadata Agent at Scale version 26.3 automatically installed and upgraded
    • Aino Metadata Agent uses document content analysis to suggest and apply metadata to large batches of objects, reducing manual work.
    • The upgraded version 26.3 improves stability and performance, especially in large vaults with high data volumes.
