Upgrading to the new M-Files Desktop experience
The new M-Files Desktop is the primary focus for all future features and is the recommended client moving forward. Transitioning requires the use of the gRPC protocol. While gRPC is enabled by default in our cloud offering, on-premises customers need to take certain steps to enable it. Please read How to transition to the new M-Files Desktop to help assess your environment and to find easiest path to transition.
New Features and Enhancement highlights to new M-Files Desktop and Web:
- Native Microsoft 365 Experiences
- Secure, context-first M-Files content natively in Microsoft 365 Copilot and Search. Enable smarter AI results and a more unified end-user experience across familiar Microsoft 365 applications.

- M-Files Workspaces Improvements:
- Share Workspace links: When a workspace object is opened, users can easily copy and share the direct workspace link. This will improve usability and access to workspaces.
- Configure reference direction for Workspace tabs: You can now set a reversed reference direction when configuring a workspace tab. This makes it easier to customize how information is grouped and displayed based on your workflow.
- Metadata card property links open workspace: Property links on the metadata card now open the related workspace directly in the same window, making it easier to view and manage referenced objects. This change streamlines navigation for users interacting with object links.
- Visual improvement for Workspaces: The appearance of tabs in the workspace has been improved for a more consistent and polished look. This makes it easier to navigate and enhances the overall user experience.
- Notification management: You can now manage your email and push notification preferences directly in the new Desktop and new Web clients. The settings are available under user settings. This allows you more control which notifications you receive and how they are delivered.
- Change the password of an M-Files login: You can now change the password of an M-Files login in the new clients. The option is available under user settings, giving you more control over your account security.
- Compare documents directly from the context menu: You can now compare two selected documents or versions directly from the context menu. The comparison supports DOC, DOCX, PDF, and RTF files. The comparison opens in a clear side‑by‑side view that helps you review differences quickly and accurately. This functionality is available only in vaults with Advanced Document Compare enabled.
- See M-Files Desktop co-authoring editors in Event Log: The Event Log now shows the names and timestamps of all users who edited a document through co-authoring. This makes it easier to track who made changes to documents and when, improving transparency and collaboration history.
- New vault APIs available in UIXv2: You can now use new M‑Files vault API endpoints in UIXv2 to retrieve files, workflow states, file versions, object history, and metadata for many objects. These updates help you build faster and richer custom solutions. You can also include comments when requesting object data. The update includes the following endpoints: GetObjectFiles, GetWorkflowStates, GetLatestFileVersion, GetObjectHistory2, and GetObjectDataOfMultipleObjects. The OBJECTDATAREQUESTFLAGS setting now supports comments.
